Salt Lake City Foundation Privacy Notice
This Privacy Notice is provided in compliance with the Utah Government Privacy Act (UGPA), Utah Code § 63D-2-103, and applies to all personal data collected and maintained by the Salt Lake City Foundation, a public body operating under Salt Lake City Corporation.
1. Purpose for Collecting Personal Data
The Foundation collects personal data to:
- Process and acknowledge donations
- Issue tax-compliant donation receipts
- Maintain donor history for transparency and reporting
- Comply with applicable laws and audit requirements
- Provide donor-specific communications, when authorized
- Support internal governance and financial operations
2. Categories of Personal Data Collected
Data collected may include:
- Full name
- Mailing and email address
- Phone number
- Donation history and amounts
- Payment or check information
- Associated organization or affiliation (if applicable)
- Communication preferences
The Foundation does not intentionally collect sensitive personal data as defined under Utah Code § 63D-2-102(27), such as health, biometric, or precise geolocation data, unless required by law.
3. Online Donations via PayPal
Online donations to the Foundation are processed through PayPal, a third-party payment service provider. When you donate via PayPal:
- You may be required to provide personal and financial information directly to PayPal.
- The Salt Lake City Foundation does not collect or store your full payment card or banking information.
- PayPal may collect data in accordance with its own privacy practices.

How Personal Data Is Used and Shared
Personal data may be shared only as necessary with:
- Salt Lake City Finance Department for fund management and financial reporting
- Salt Lake City Treasurer’s Office for processing donations and issuing receipts
- IRS and Utah State Tax Commission, for mandatory tax compliance
- Auditors and legal counsel, as part of fiscal oversight
- GRAMA requestors, where legally required under the Government Records Access and Management Act
Data is never sold or used for third-party marketing.
4. Retention of Personal Data
Personal data is retained in accordance with Salt Lake City’s official records retention schedule and relevant state law. Specific retention timelines include:
- Donor records and donation receipts: Retained for at least 7 years following the close of the fiscal year in which the last donation was received, in alignment with financial audit standards and IRS requirements.
- Donation agreements: Retained for 10 years, or as long as the agreement remains in effect, whichever is longer.
- Meeting records and financial reports: Retained permanently or in accordance with GRAMA and Salt Lake City’s General Schedule for Administrative Records.
Records scheduled for destruction are disposed of securely to protect donor information.
5. Your Rights Under the Utah Government Privacy Act
As a data subject, you have the right to:
- Know what personal data is collected and maintained
- Request access to your personal data
- Request corrections or updates to inaccurate data
- Request deletion of personal data, unless required to be retained by law

6. Data Security

This Privacy Notice may be updated periodically to reflect legal or operational changes. The current version will be posted on the Foundation’s website or available upon request.
